Job Title: Executive Assistant to the Country Representative
Job Location: Country Office

Principle Duties and Responsibilities:

  • Conserves the CR time by reading, researching and routing correspondence, drafting letters and documents, collecting and analyzing information and initiating telecommunication. 
  • Maintains the CR’s appointment schedule by planning, scheduling and coordinating meetings, conferences, teleconferences and travel within or out of the country.
  •  Ensures the completion of projects by following up on results with the departments that directly report to the CR and make reports.  
  • Manage the leave roster for the CR and approve leave requests and procurements for the CR’s Office.  
  • Manage all travel logistics for the CR's trip including flight booking, online check in, accommodation and transport on arrival,  
  • Ensures operation of equipment by completing preventive maintenance requirements, follow malfunctions, calling for repairs, maintaining equipment inventories and evaluating new equipment.  
  • Manage both electronic and paper filing systems in compliance with applicable record keeping requirements.  
  • Welcome guests and clients to the office, in person or on the telephone and answers or directs their inquiries.  
  • Manage petty cash, make accountabilities and requisitions for any office supplies.
  •  Participate in departmental budget preparation and procurement planning for CR‘s Office.
Minimum qualification and Requirement
  • Bachelor’s degree in Secretarial and Office management or a related field. 
  • Minimum of 3 years’ experience in Secretarial or related field.  
  • Excellent interpersonal skills.  
  • Knowledge of various Computer applications.  
  • Good oral and written Communication skills. Sensitivity to confidential information, discretion and good judgmental skills.  
  • Planning and organizing skills.  
  • Ability to prioritize activities and work independently.  
  • High level of integrity and a good team player.  
  • Tactical skills in dealing with different people.  
  • Handle correspondence and draft appropriate responses.  
  • Ability to search for and disseminate information.  
  • Shorthand skills.  
  • Management skills.
