WWF has a growing conservation Programme in the Republic of
Uganda. WWF Uganda Country Offi ce (WWF UCO) works with central and local government agencies, private sector, civil society organizations (CSOs) and the local communities to implement its various conservation programmes on Energy and Climate, Forestry and Wildlife, and Freshwater in Uganda. To help WWF in managing this challenging conservation agenda, and be aligned with WWF’s network initiative and the global conservation priorities, the WWFUganda Country Office is looking for a dynamic and committed professional to fill the above mentioned position.
Reports To: IT/Logistics Manager
Location: Country Office - Kampala
Duration: 2 years renewable (Subject to performance and funding availability)
Job Summary:
Perform front office, administrative and secretarial services in support of the Country Offi ce operations. .

Key Performance Areas;
• Ensures professional front offi ce suppor t for visitors and staff.
• Receives document and disburse incoming mails and outgoing mail
• Manages front offi ce switch board and transfer calls as necessary.
• Receives messages for staff absences and transfer as necessary
• Collates weekly staff in and out of office report and shares with all staff before Tuesday of each week.
• Responsible for maintaining a clean, conducive and tidy reception area safe for staff and visitors.
• Notifies officers on visitor arrival directs and allows access to those on appointments and issue appointments as necessary.
• Receives and records all internship and job applications including unsolicited ones and passes them on to Human Resources section.
• Manages filling for all documents going through the reception and ensures utmost confi dentiality.
• Responsible for reception security and notifying focal person on any suspicions.
• Compiles calendar for key events and notifi es responsible persons in a timely manner.
• Ensures WWF UCO branding material is provided at the reception all the time and ensures their safety.
• Follow up on meeting invitations for respective staff and notifies / reminds them accordingly

Education / Qualifi cations / Training required:
• Preferably a Bachelor’s degree in Office Management, secretarial studies or a related course, with excellent verbal communication skills.
• Active listening and great customer service skills.
• At least three years of experience in office management with a particular training in front desk and customer care management in a busy local or international organization.
• A good understanding of secretarial support and ability to run different offi ce equipment.
• Good planning skills with diary management.
